As a Shipping Administrator, you'll play an important role within the operational team, supporting the end-to-end administration of global outbound shipments. From preparing shipping and export documentation to monitoring air, sea, and road deliveries, supporting customer invoicing, maintaining accurate records, and managing import and export administration, you'll help ensure shipments progress efficiently, accurately, and in line with both company procedures and international regulations.

Working closely with Distribution, Sales Support, and wider operational teams, you'll combine strong organisation, numerical accuracy, attention to detail, and commercial awareness to provide a professional and dependable shipping administration service across the business.

In this role you will:

  • Prepare and process accurate shipping, export, and customer documentation to support timely global dispatch and delivery.
  • Track and monitor airfreight, sea freight, and road shipments worldwide, ensuring all documentation and administrative requirements are completed within required timescales.
  • Maintain accurate shipping, health certificate, and export records, ensuring documentation is appropriately filed, retained, and audit-ready.
  • Support customer invoicing, credit letters, insurance administration, and multi-currency invoicing controls, maintaining a zero-tolerance approach to errors.
  • Complete accurate data input, data cleansing, and general import and export administration in line with company procedures and requirements.
  • Ensure all activities comply with international export regulations, internal policies, and established controls, identifying and escalating discrepancies, risks, or complex queries where required.
  • Build strong working relationships with Distribution, Sales Support, and wider stakeholders, communicating priorities and requirements clearly while meeting deadlines and service-level expectations.
  • Contribute to continuous improvement by identifying opportunities to improve accuracy, efficiency, and processes, while supporting the wider administration team with ad hoc duties as required.

You recognise that accurate documentation, timely information, and effective communication are critical to getting products to customers on time and maintaining compliance across a global operation.

  • You have proven experience within a shipping, logistics, export, or international administration environment, ideally gained within a busy and commercially focused organisation.
  • You have experience with shipping documentation, export processes, logistics administration, or customer invoicing, with a strong understanding of accuracy throughout the shipment lifecycle.
  • You are highly numerate and detail focused, with a methodical approach and a commitment to getting information right first time, particularly across documentation, invoicing, and currency conversion.
  • You are organised and resilient, able to manage competing priorities, work effectively under pressure, and consistently meet demanding deadlines without compromising quality.
  • You are proactive, driven to succeed, and demonstrate a positive “can do, will do” attitude, taking ownership of responsibilities and seeing tasks through to completion.
  • You have advanced IT skills, including experience managing data and working with ERP systems, and are confident learning new systems, processes, and technologies.
  • You communicate clearly and professionally, building strong working relationships across Distribution, Sales Support, and the wider business while working collaboratively to resolve issues.
  • You are confident identifying discrepancies, risks, and potential issues, taking appropriate action and escalating when required, while maintaining high standards of accuracy and service.

The impact you will have:

You will play a key role in ensuring the Company’s global shipping and export administration processes operate accurately, efficiently, and consistently. By taking ownership of shipping administration and ensuring documentation is prepared and processed correctly and on time, you'll help keep goods moving smoothly across air, sea, and road freight networks while supporting compliant export activity, accurate invoicing, and reliable customer delivery.

Your attention to detail will be essential when managing export documentation, health certificates, customer invoices, credit letters, insurance information, and multi-currency transactions. By monitoring shipment activity, maintaining accurate and audit-ready records, and identifying discrepancies or potential risks early, you'll help prevent issues from impacting dispatch, delivery, customers, or wider business operations. Working closely with Distribution, Sales Support, and operational teams, you'll provide dependable support, communicate priorities clearly, and help ensure requirements are understood and delivered.

You'll also contribute to the continuous improvement of the shipping administration function by identifying opportunities to improve accuracy, streamline processes, strengthen controls, and increase efficiency. Ultimately, your contribution will help create a shipping operation that is accurate, responsive, compliant, and trusted across the business - ensuring that the detail behind every shipment supports reliable global customer delivery and commercial success.
